Job Title: Manager of Fleet Administration
Department: Billing and Fleet Administration
Reports to: Director of Billing and Fleet Administration
FLSA Status: Exempt
Purpose: This position provides overall direction for all activities related to fleet asset administration including but not limited to contract management, title/registration management, and project management.
Roles and Responsibilities:
- Manage fleet assets and contracts ensuring accuracy and efficiency which includes:
- Creating records for purchased assets in ERP system and Excel for tracking.
- Process capitalized repair invoices for fleet equipment. Scan invoices for shared access and submit to AP for payment.
- Receiving titles for purchased equipment and providing instructions for title applications.
- Creating sales invoices in ERP to dispose of equipment. Distribute titles to buyers of purchased assets.
- Maintaining fleet registrations, annual renewals, and insurance documentation.
- Generating lease contracts for the Sales department. Updating contract log regularly of new contracts and addendums to leases. Monitor fulfillment of open leases on the contract log in comparison to ERP. Scan and file lease contracts. Audit lease billing annually based on active contract terms.
- Project Management – as needed.
- Responsible for ensuring a quiet and productive office work environment.
- Strives to improve processes for efficiency and reduce costs in those areas of responsibility.
- Maintain a high degree of communication, cooperation, and coordination with multiple internal departments.
- Maintains a qualified staff, communicates areas of accountability and performance expected, determines standards of performance as a basis to review progress of personnel assigned, ensures proper training of personnel assigned, and fosters a cooperative and harmonious working climate conducive to maximizing employee morale and productivity.
Education: High School diploma or equivalent, college degree a plus but not required, AND three (3) to five (5) years supervisory experience.
Knowledge, Skills, and Abilities:
- Excellent communication skills, both verbal and written.
- Well organized and self-directed.
- Ability to effectively handle multiple tasks in a fast-paced environment.
- Detail oriented, strong problem solving, decision making and negotiation skills.
- Proficiency in the use of Microsoft’s Office suite of products and the internet.
- Microsoft Dynamics NAV experience a plus.
Physical Demands Work Environment:
- Frequently required to sit and use hands/fingers to handle, feel and to manipulate keys on a keyboard. Occasionally required to stand, walk, and reach with arms and hands.
- The vision abilities required by this job include close vision.
- Typical office work environment, which is usually quiet. Required to operate a personal computer, photocopy machine, facsimile machine, calculator, telephone, etc.
- Overtime as needed due to workload.
